Practice note

When a medical certificate is usually required

For advisors briefing managers in German workplaces.

Managers love a single number: “certificate on day three.” Reality is messier. Statutory baselines, collective agreements, and company policies can pull in different directions. Your job in an employment consultation is to separate those layers before anyone sends a stern email.

Start with the employee’s first notice

Certificate timing only matters if the absence is logged correctly. Confirm that the employee knows whom to contact and that the manager records the start date without demanding a diagnosis. Many disputes begin with a missing timestamp, not a missing stamp from a doctor.

Policy versus instinct

If a policy requires earlier proof than colleagues expect, say so plainly. If a manager wants proof “tomorrow morning” without policy support, pause. Cloudschemaflow’s essentials course walks through sample policies so you can practice that pause out loud.

Electronic AU quirks

Electronic certificates reduced paper chase, yet renewals and staggered end dates still create inbox confusion. Teach managers to verify the covered period rather than assuming continuity from the previous note.
